Administrative Assistant

The purpose of the Administrative Assistance job is to take clerical and administrative tasks off the desks of Executive and other staff, to free up their time to perform their job responsibilities.
The Administrative Assistant provides administrative and clerical support, maintains financial records, and ensures that the Team Kids office is running smoothly. The AA is an hourly employee working approximately 40 hours per week, and reports to the CEO.

Job Duties
  • Provide administrative support Executive and other staff, including scheduling and preparing for meetings and taking notes
  • Conduct office activities, including filing, copying, scanning, ordering supplies, and maintaining functional equipment, including phones, computers, printers
  • Orient new employees and volunteers to office procedures, use of equipment
  • Assist with administrative and clerical tasks related to fund development, marketing, and program activities (e.g., data entry and cleaning, generating reports, tracking timelines)
  • Assist with implementation of organizational communications plan
  • Take and maintain minutes and/or notes for board, committees, and other meetings, and distribute quickly for review
  • Create and maintain a system for preparation of press packets, board orientation packets, and other materials
  • Pay bills and invoices, make deposits, maintain monthly donations via PayPal
  • Reconcile accounts monthly on QuickBooks and Giftworks
  • Assist CEO and board Treasurer with expense & income reports, as well as state and federal compliance reporting, including tax and other informational filings
  • Provide clerical and administrative support for special events (e.g., handle registration, print name tags, maintain records)
  • Assist with preparation of grants
  • Assist with other duties as assigned

Qualifications
  • Associate’s Degree or higher
    2 years minimum administrative experience
    Excellent computer skills and proficiency in MS Office Software applications
    Experience with QuickBooks or similar accounting software desirable
    Strong organizational skills and attention to detail
    Strong interpersonal, written and verbal communication skills
    Ability to handle and prioritize multiple tasks
    Professionalism, resourcefulness, independent worker, positive, attitude

Hours: Approximately 40 hours weekly, Monday through Friday, occasional nights & weekends
Location: Team Kids Offices, 2192 Martin, Suite 280, Irvine, CA 92612
Compensation & Benefits: $11.00 - $13.00 hourly, depending on skills and experience; no benefits.
